One operational record from quote to close
Replace disconnected spreadsheets
Keep commercial, operational, warehouse, compliance and finance teams on the same job and shipment records.
Know what needs attention
Milestones, activities, exceptions, SLA deadlines and document checks expose delays before they become customer escalations.
Protect margin and cash flow
Compare quoted revenue with supplier estimates and actual costs, then prevent premature job closure.
How the automated workflow works
Build charges from controlled rates, currencies and terms; review margin and issue the customer quotation.
Confirm route, mode, cargo, equipment and planned dates. The job becomes the common operational and financial file.
Create shipment, bills, container, cargo and package records; assign vendors; follow milestones and documents.
Capture declaration data and evidence, manage queries/inspections and record release status. Direct SARS connectivity remains a roadmap item.
Plan transport, capture driver/vehicle, POD, failed-delivery reasons, depot and empty-container returns.
Reconcile supplier invoices, confirm actual cost and margin, invoice the customer, resolve exceptions and close with audit evidence.

Warehouse visibility and defensible custody records
Every package can receive a unique barcode and be linked to the job, shipment, container and inventory movement. Controlled scans create a time-stamped custody history across Security Entry → Receiving → Warehouse Stock → Dispatcher Release → Security Exit. Operators can record location, damage, shortages, overages, loading, dispatch, delivery and POD.

Customs control today, direct SARS integration on the roadmap
The current workflow centralises importer/exporter references, declaration reference and status, HS codes, customs value, duties, VAT, supporting documents, permits, certificates, queries, inspection/detention and release milestones. This creates readiness, accountability and a searchable audit trail while authorised parties complete official submissions through approved channels.
Planned integration: Direct submission, acknowledgements and response handling will only be represented as active after connectivity, registrations, production message formats, security, end-to-end testing and SARS/implementation acceptance are completed.
QuikeFix records and workflows do not replace SARS, ITAC, NRCS, port, carrier or other authority approvals, permits or professional customs advice.

Practical example: four vehicles from Japan to Durban
A sales user creates a quote for one 40-foot container carrying four vehicles. After approval, the system converts the commercial data into a booking and job. Operations records the Yokohama–Durban shipment, vessel/voyage, container and seal; each vehicle receives its own cargo line with make, model, year and VIN/chassis details. Documents are checked against the job, vendors are assigned, milestones track gate-in, departure, arrival, customs preparation, release and delivery. Transport captures POD and empty return. Finance replaces estimated supplier charges with actual invoices, compares margin to quote and invoices the customer before controlled job closure.
Implementation approach
Discover & design
Confirm companies, branches, services, roles, job types, rate logic, documents, approval limits and reports.
Configure & migrate
Set up masters, security, sequences and workflows; clean and import agreed customer, vendor, rate and open-job data.
Test & train
Run representative import/export scenarios, role-based acceptance and guided training using your own processes.
Go live
Complete data-quality, system-health, staging-acceptance and go-live checks with cutover and support plans.
Optimise
Review exceptions, SLA performance, margins, user adoption and reporting; automate high-volume activities progressively.
Integrate
Scope accounting, communications, portals, carrier feeds and future SARS connectivity separately with security and acceptance criteria.
Expected business value
- Less duplicate capture and fewer spreadsheet hand-offs.
- Faster retrieval of shipment records and documents.
- Earlier visibility of missing documents, late milestones and SLA breaches.
- Stronger vendor compliance and invoice reconciliation.
- Clearer package custody and evidence for damage or shortage investigations.
- Better estimated-versus-actual margin control and cleaner financial close.
- Customer and vendor self-service visibility with controlled data isolation.
Benefits depend on process design, data quality, configuration, user adoption and integrations; no specific saving is guaranteed without a discovery assessment.
